Both Exchange Server 2010 Service Pack 1 and Exchange Online enable customers leveraging them to immutably preserve mailbox items. Microsoft is offering free guidance to organizations looking to taking advantage of the in-place archiving capabilities of the latest on-premises and Cloud Exchange offerings via the Download Center.

It’s important to note that, while immutably preserving mailbox items for discovery via an in-place archive, both Exchange Server 2010 SP1 and Exchange Online also keep the content within the Exchange infrastructure.

“This preserves all data in a way that is tamper-proof and discoverable—while at the same time conserving more of the relevant data, reducing IT complexity, and delivering a seamless user experience,” Microsoft explained.

Companies often need to save emails and keep them safe, for a variety of reasons, related to regulatory compliance, internal governance, etc.

The promise from Microsoft is that Exchange Server 2010 SP1 and Exchange Online simplify the preservation of email messages in a form in which they can no longer be deleted or altered.

According to the Redmond company, IT administrators need to leverage Exchange’s “legal hold” capabilities in order to immutably preserve mailbox items.

“When a user is placed on hold, Exchange makes that user’s mailbox items immutable by storing a copy when relevant properties are edited or the message is removed from the user's view,” the software giant added.

“Those copies are sent to a segment of the user’s mailbox (technically known as the “Recoverable Items folder”) that is invisible to the user. This process is triggered when any command to edit or delete is invoked in the code, ensuring that all altered or removed items are included. Legal hold covers all mailbox items.”
